Office Assistant/ Assistant Registrar

This position is a full-time office position, reduced hours in summer and holiday breaks. The position is 7:30- 3:30 daily. Applicant should be someone with excellent communication skills and a friendly demeanor.

Assistant to the Registrar Responsibilities:

  • Learn and master the use of the Student Information System
    • Letter writer
    • Report writer
    • Maintain and update student/staff records
    • Create master schedule, Schedule changes
    • Organize registration for all levels
    • Maintain and post grades, progress reports
    • Transcripts
    • Manage student permanent files
    • Monitor service requirement module, attendance module, referral module, eligibility module, financial module
    • Grade machine, maintaining and training
    • Generate random list for drug testing
  • Update and maintain database information
  • Create new student files in database
  • Troubleshoot  system problems
  • Assist the International Program Director to process all student paperwork
  • Assist the registrar in processing “new” student paperwork
  • Relieve the receptionist on the switchboard when needed
  • Learn the “bell” system programming
  • Greet and welcome visitors
  • Learn to send emails to parent groups/ composing the newsletter, etc.
  • Write and send scholarship letters
  • Handle scheduling registration appointments
  • Xerox when needed, posts and distributes mail as needed
  • Minutes at department chair meetings
